Requirements
- Level 2 qualification in administration or equivalent/relevant experience in administrative role(s)
- GCSE level education including English language at level 4 or above
- Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1)
- Excellent communication, organisational, and time management skills
- Ability to work with highly sensitive and confidential information
- Demonstrable computer competence
- Awareness of confidentiality requirements
About the Role
The Women’s Services department at The Newcastle upon Tyne Hospitals NHS Foundation Trust is offering an exciting opportunity for an Apprentice Departmental Secretary. This role is perfect for someone looking to build on their administrative and customer service skills while developing a career in the NHS.
As an Apprentice Departmental Secretary, you’ll be part of a small team providing crucial support to Senior Management and Specialised positions within the Women’s Services Board. You’ll assist with a range of tasks related to Gynaecology and Obstetric (Maternity) services, making a real difference in patients’ lives.
The role requires an enthusiastic individual with an empathetic nature, as you’ll be supporting patients from all walks of life. You’ll have the chance to grow your skills and knowledge through a combination of hands-on experience and structured learning, setting you up for a rewarding career in healthcare administration.
Key Responsibilities
- Assist with room bookings and diary management
- Process HR paperwork and support administrative functions
- Take minutes during meetings and prepare professional documents
- Organize travel arrangements and catering for staff and events
- Coordinate PALS/Complaints processes
- Perform general administrative tasks such as scanning, photocopying, answering calls, and managing emails
- Contribute to the development and improvement of departmental processes
- Provide comprehensive secretarial/administrative support to the Family Health Board Management Team, Specialist Nurses/Midwives, and Risk Management Team
- Assist with data entry and collation
- Liaise extensively with medical, Midwifery and Nursing staff, as well as other agencies
