Job Overview
A part-time Ward Clerk position is available within the Cardiothoracic Critical Care Unit at Freeman Hospital. The role supports a multi-disciplinary team, covering services seven days a week on a rota system alongside two other Ward Clerks.
Candidates should demonstrate dedication, compassion, and approachability. Prior clerical experience, excellent communication, and IT skills are essential.
Adherence to departmental guidelines, government legislation, and Trust policies is required, alongside effective time management and organizational abilities.

Main Duties
- Provide comprehensive clerical support to the Ward Sister/Charge Nurse and the multi-disciplinary team.
- Utilize excellent communication skills to ensure seamless patient flow, liaising with wards, departments, and external bodies such as the Ambulance Service.
- Perform routine, repetitive tasks as delegated.
- Plan and prioritize personal and delegated tasks effectively.
- Assist with housekeeping and other ward duties, including maintaining tidiness, ensuring stock levels, and managing clinical equipment.
- Deliver training to ward staff regarding specific clerical responsibilities.

Detailed Responsibilities
- Maintain efficient administrative support for the Ward Sister/Charge Nurse and the multi-disciplinary team.
- Contribute to delivering high standards of patient care.
- Ensure the availability of case notes, investigations, X-rays, and results for admissions, ward rounds, and meetings.
- Adhere to guidelines for maintaining case notes, ensuring compliance with legislation such as Caldicott Guidelines.
- Update and maintain the PAS system with accurate and timely information.

Person Specification
Qualifications & Education
Essential
- NVQ Level 2 qualification or equivalent experience, or a minimum of four GCSEs (Grades 4–9, A–C), including English.
Desirable
- Competency in Microsoft Office applications and/or ICT Level 1 Qualification.
Knowledge & Experience
Desirable:
- Experience within the NHS and familiarity with systems such as eRecord, Mermaid, Casis, and ERA.
Skills & Abilities
Essential
- Basic IT proficiency.
- Effective communication skills with public and healthcare providers.
- Ability to work independently or within a team.
- Strong organizational and time management skills.
