Job Summary

Norfolk and Norwich University Hospital is seeking an enthusiastic individual to join the Plastic Surgery Outpatient Department as an Apprentice Receptionist. This is a fantastic opportunity to gain valuable work experience in the NHS while working towards a recognised Level 2 Customer Service Practitioner Apprenticeship Standard qualification.

As an Apprentice Receptionist, the successful candidate will be responsible for providing administrative support and acting as the first point of contact for patients, relatives, and healthcare professionals. The role offers the chance to develop key skills in a fast-paced, busy environment, working alongside a dedicated and supportive team. The post holder will also be trained to use the hospital’s electronic patient system and will play an important role in ensuring the smooth running of the department.

Key Responsibilities

  • Provide reception duties, including greeting patients, arranging appointments, and maintaining appointment systems for the department.
  • Manage patient contact efficiently, dealing with enquiries in person and over the phone in a courteous and confidential manner.
  • Ensure patient safety and wellbeing while in the waiting area, alerting appropriate staff to any concerns.
  • Use the hospital’s Patient Administration System (PAS) for tracking and collecting patient notes, updating patient records, and managing clinic administration.
  • Work autonomously and as part of a team to provide high-quality customer service to patients, relatives, and healthcare professionals.
  • Communicate effectively with patients, relatives, and the wider healthcare team, ensuring that any enquiries or concerns are managed promptly and professionally.
  • Provide administrative support to technical, medical, nursing, and secretarial staff within the Plastic Surgery Outpatient Department.

Requirements

  • Good general level of education with at least 4 GCSEs at Grade D/3 or above, including Maths and English.
  • Strong communication and interpersonal skills, with the ability to engage with patients, relatives, and staff in a compassionate and professional manner.
  • Basic IT skills, including accurate data input and familiarity with common software applications.
  • A desire to learn and develop within an NHS administrative role.

Desirable Experience

  • Previous experience in clerical work or data input.
  • Experience in a customer service role or working within an NHS environment.
