Job Overview
An opportunity is available within the Children’s Care Group for a Call Handler/Administrative Assistant. This role supports the provision of efficient and comprehensive administrative services as part of the Single Point of Contact model.
The ideal candidate should possess excellent verbal and written communication skills, the ability to handle large volumes of tasks effectively in a fast-paced environment, and a professional demeanor when interacting with people at all levels. Flexibility and adaptability to varying demands, as well as the ability to work independently and as part of a team, are essential.
A good standard of education, including GCSE English and Maths at grade C or above (or equivalent), or RSA Stage II typing/word processing qualifications, is required. Experience with Microsoft Office applications and general office procedures is essential. Familiarity with NHS systems, such as SystmOne, is desirable but not mandatory, as training will be provided.
Main Duties
- Deliver confidential and high-quality administrative support for an identified pathway within the Children’s Care Group.
- Communicate effectively, professionally, and empathetically through written, telephone, and face-to-face interactions with patients, visitors, staff, and external agencies.
- Create, update, and maintain patient records and recall systems on SystmOne.
- Process new referrals and manage current referrals in the system as required.
- Provide photocopying, scanning, and general administrative support services.
- Maintain and organize both paper and electronic records in line with records management principles.
- Produce high-quality documentation, including confidential reports and correspondence, using Microsoft Word and SystmOne.
- Liaise with clients, professional staff, and multi-agency partners, including local authorities, schools, GPs, and others.
- Handle telephone inquiries courteously and efficiently, recording and escalating messages as needed.
- Schedule appointments, assessments, and group/clinic sessions while maintaining appointment ledgers and recall systems.

Person Specification
Education
- Essential: GCSE English and Maths (Grade C+ or equivalent).
- Desirable: NVQ in customer service.
Experience
- Essential: Experience managing high call volumes.
- Desirable: Experience within the NHS, public sector, or customer service/call center environments.
