Salary and Benefits

The salary for this role ranges from £45,272 to £49,884. New starters will typically begin at the minimum of the scale. In some cases, salary negotiations may be considered based on demonstrated experience and skills. This role includes a Civil Service Pension with an employer contribution of 28.97 percent. Future salary increases are subject to annual pay discussions with central government. If currently employed within the Civil Service, your salary will align with Companies House pay policies.

About the Role

Companies House is looking for a Function Specialist to join the HR Systems and Data team. This role is ideal for someone who understands the value of efficient systems, accurate data and smart workforce planning. You will sit at the centre of how people, data and processes come together to build a workforce that is aligned with the long-term goals of the organisation. This role goes beyond day-to-day operations. You will help shape a strategic approach to workforce planning and data management that supports a culture where people can thrive.

Your work will directly contribute to the organisation’s mission to be the best registry in the world, while supporting the delivery of new legislation aimed at tackling economic crime.

Key Responsibilities

  • Act as a senior member of the HR Systems and Data team, contributing to the future development of strategic workforce planning at Companies House
  • Serve as a translator between HR systems experts and stakeholders across the organisation, particularly during system changes or replacements
  • Analyse and document current and potential uses of HR systems, identifying ways to improve workflows and information flows
  • Lead the development of support materials and training to help departments manage workforce planning data more effectively
  • Coordinate data migrations and support a balance between tailored and standardised system solutions
  • Identify and resolve data integrity issues, proposing sustainable solutions
  • Create and implement triaging processes for incoming requests, while protecting team capacity for high-impact internal projects
  • Design and evaluate test strategies for system and data changes, working closely with stakeholders throughout the testing lifecycle
  • Evaluate and propose improvements to existing HR workflows and system usage, drawing on both industry standards and business context
  • Maintain stakeholder relationships across all levels, ensuring that insights, issues and opportunities are accurately communicated and acted upon

Person Specification

Experience and Skills Required

  • Proven experience in managing system-level HR or workforce planning services, ideally gained through postgraduate study, relevant qualification or extensive operational experience
  • Strong documentation and data visualisation skills with a focus on clear, accurate reporting
  • Previous experience working with Business Intelligence, HR or People systems at a system administrator level
  • Confidence in working with stakeholders who may not have a technical background
  • Ability to create process documentation and training for multiple stakeholder groups
  • Strong project management capabilities, with experience handling complex or multi-strand projects
  • Excellent communication skills, with the ability to influence, support and mentor others
  • High attention to detail and an analytical approach to problem-solving
  • Experience in identifying workflow efficiencies and system improvements
  • Comfortable working independently and managing priorities under tight deadlines
